Whether you're consolidating addresses, handing off a role, or mirroring mail to an assistant, here's how to forward cleanly in Gmail and Outlook.

Why people forward mail

Inbox consolidation: Old personal address → primary Gmail.
Role transitions: Departing employee → manager temporarily.
Vendor aliases: billing@ → finance lead.
Backup visibility: Critical mailbox mirrored elsewhere.

Always document who's forwarding where — forgotten forwards cause leaks long after people leave.

Gmail forwarding overview

Gmail supports forwarding via Settings → Forwarding and POP/IMAP. You can forward all incoming mail to another address (subject to verification — Gmail sends a confirmation link you must accept at the destination). You may choose whether to keep a copy in Gmail.

Filters allow selective forwarding — only mail matching sender, subject, or keywords — often safer than blanket forwarding.

Workspace admins may restrict forwarding for compliance — check policy before relying on it.

Outlook / Microsoft 365 forwarding

In Outlook on the web: Settings → Mail → Forwarding. Toggle forwarding on and specify destination. Organizational policies often disable automatic forwarding for data-loss prevention — again, verify what's allowed.

Desktop Outlook rules can implement forwarding or redirection per sender/domain — powerful but easier to misconfigure.

Loops and deliverability — avoid breaking mail

Never create circular forwarding (A → B → A). You'll generate storms or temporary outages.

Forwarded mail sometimes fails SPF/DKIM alignment checks — recipients may see spam warnings. For critical domains, consider migration rather than perpetual forwarding, or official Workspace/O365 aliases instead.
